Student Employment

Many students at Carnegie Mellon University
in Qatar wish to gain employment experience before graduating.

One way in which students can prepare for the world of employment is through the Student Employment Program on campus. It offers students an opportunity to contribute to the work of a dynamic institution and to earn money while doing so. Carnegie Mellon University in Qatar works with Qatar Foundation to help students secure full-time employment or internships through the following means:

  • By establishing relationships between Carnegie Mellon University in Qatar and the business and industrial sectors in Qatar.
  • By maintaining an updated list of employment and internship opportunities.
  • By conducting employment workshops to provide advice and practice in preparing résumés, interviewing etc.
  • By creating and maintaining a resource center in collaboration with the branch campuses.
  • By planning in coordination with the branch campuses career development activities, such as employer visits to Education City and career and job fairs.

Student Employment Frequently Asked Questions 

FOR STUDENTS:

 I want to get a job on campus. What do I need to do first?

Create a student account in www.Tech4Work.com. Make sure your email address is entered correctly. Upon creating an account, you should receive an email from Tech4Work with a link. In order to activate your account you must click on that link. If you do not receive an email, check your spam and make sure you do not have any blocks from the Tech4Work address. Please note if you do not receive that confirmation link in your email, or if you never click on that link, you do not have an account and therefore cannot apply, log your hours, or receive payment.

 

You will need to have your own bank account, as all payments will be processed via direct deposit. Make sure you enter your bank account details in Tech4Work exactly as they appear on your bank documents. This includes the spelling of your name and your account number (note: the number on your bank card is not your account number). If your information does not match, your payment will not be processed by the bank.

How can I search for jobs?

Follow the “Job Vacancies” link in the top left-hand corner. If a job is visible, that means it is accepting applications. Once you have a Tech4Work account you can click “Apply.” Enter your information, upload your resume, and click submit.

 

What if I want to apply for a position as a Teaching Assistant or Peer Tutor?

All TAs and PTs are hired through the Academic Resource Center. HOWEVER, YOU STILL NEED TO APPLY ONLINE THROUGH TECH4WORK!! Please contact Hope Rodefer in the ARC, Rodefer@qatar.cmu.edu, for more information.

 

What if I have already been pre-selected to be a TA or PT by the ARC? Do I still need to apply for the position on Tech4Work?

Yes. You must have an account and have applied in order to work in a student employment position. It is also your responsibility to understand the pay rate of the position and the maximum number of hours you have been approved to work per week in that position.

 

Ok, I have applied for a position – now what?

When you apply, the supervisor of that position will be notified of your application and will review your materials. If the supervisor is interested in interviewing you, he or she will contact you directly.

 

I have been hired. When can I start work?

You will be able to start the first week of classes. Students can begin work once the position has been approved by Qatar Foundation. When QF approves a position, they will inform Jeff Davis in the CMUQ Office of Professional Development, who will in turn inform supervisors of which jobs have been approved and for how many hours per week. Students may then begin working. This usually takes place prior to the start of each semester.

Why can’t I see my timesheet on the website?

If you cannot access your timesheet, this most likely means that you have not been linked to the position or have not applied online to the position. Supervisors—or in the case of TAs and PTs, the ARC—must inform Jeff Davis (JeffD@qatar.cmu.edu) of who has been hired, and students must apply to their respective positions—even if they have been pre-selected by the ARC.

The ARC has already informed Jeff of all the TAs and PTs who have been pre-selected for fall 2011 positions. Jeff will begin linking each student to his/her position on the first day of fall classes, immediately after QF finishes approving the fall positions. However, if you cannot access your timesheet on the first day of classes (Sept. 4) do not panic. As long as you have an active, functioning account in Tech4Work you will be linked to your position no later than Sept. 6. If by Sept. 6 you still do not have access to your timesheet, please inform JeffD@qatar.cmu.edu. For the time you do not have access to your timesheet, please keep track of the hours you worked.

 

What you can do if you can’t access your timesheet?

  • Check with your supervisor to make sure he or she has informed Jeff that you were hired.

  • Ensure you have a STUDENT (not supervisor) account in Tech4Work. You cannot be linked to a position unless you have a student account.

  • Make sure you have applied to your position through Tech4Work

 


When must timesheets be turned in so that I get paid?

All hours in your timesheet must be saved by 11:59pm on the last day of the month. This is QF policy. Timesheets are automatically collected through QF’s software system at this time; they then go to QF finance; QF finance then forwards the payments to students’ respective banking institutions. Neither CMUQ nor QF can process a timesheet that is turned in after this time. If you miss the deadline, you may still receive payment, but you will not receive it until the following month. For example, your September timesheet (for the hours you worked in September) is due September 30 at 11:59pm, but you submit it on October 2. You will not receive any payment in October for hours you worked in September. You will receive both your September and October salaries in November (provided you submit your October timesheet on time).

However, QF will not reimburse students who turn in a late timesheet more than once.

 

What is the deadline for all hours to be recorded in my timesheet?

No later than 11:59pm on the last working day of the month.

 

There is a discrepancy with my payment. What do I do?

There are several potential causes for the discrepancy. Below are possibilities of what may have gone wrong, followed by the steps you can take to right the situation:

  1. Cause: Incomplete, inaccurate, or missing bank information

-                            Steps to Take: You have to have a bank account as a student employee; otherwise, you will not be paid. Make sure you enter your correct             and complete bank details (correct bank name, acct number, etc.). If you do not receive payment in October for hours worked in             September, for example, because of incomplete or inaccurate bank information in Tech4Work, you will receive your salary for September             when you receive your salary for October, around the middle of November—provided you had updated your bank account details in time.

       2.  Cause: You worked more than the weekly number of hours that QF approved for your position (this will be on the job description in              Tech4Work). For example, your position was approved for a maximum of 20 hours per week, but you recorded 24 hours for the second              week of September (or you record 22 hours the second week and 22 the third week of September. When you get paid in October for your              September hours, there are four hours’ worth of payment missing. This is because QF automatically does not pay you for hours worked              over the WEEKLY (not MONTHLY) limit for your position. For example, your position is approved for 20 hours per week. However, you              work only 15 hours the first week of September. In the second week of September you want to make up for the five hours of work you              missed the previous week, so you work 25 hours that second week of September. Assuming you work 20 hours per week for the final              two weeks of September, the paycheck you receive in October for those September hours will still have five hours’ worth of payment              missing.

-                             Steps you can take: The obvious one is to make sure you know the number of approved hours and not go over that limit. Less obvious:              Do not wait until the last minute at the end of the month to record your hours. Many students do this and get into trouble because they are              in a hurry, do not remember exactly when they worked, etc., and mistakenly miscalculate/mistakenly record their hours. Keep in mind that              CMUQ and QF can see when you record your hours, even down to the second.

-                     3.  Cause: You forgot your salary. Sometimes students mistakenly they are making more than they are actually making. It may be the case                that the salary information initially entered in Tech4Work is outdated and needs to be updated. Either way, the pay rate for the job you are              working is on the job description in Tech4Work.

-                             Steps to Take: It is important for you to take note of your salary on the job description, so in case you think or you were told your salary is              higher than what is on Tech4Work, you can let us know and we can check for you—before payments are disbursed. -                    4.  Cause: You were never linked to the position

-                            Steps to Take: You should be recording your hours regularly. If you cannot access your timesheet to record your hours, you either have             not created an account in Tech4Work and/or not been linked to the position. Please notify JeffD@qatar.cmu.edu if you cannot access your             timesheet.

-                   5.  Cause: There was a glitch with the QF finance process

-                           Steps to take: Unfortunately, the finance process does not always come off without a glitch, for a variety of reasons, most technical. Once             you check the potential causes mentioned above, please let JeffD@qatar.cmu.edu of the discrepancy.

 

There was a discrepancy with my payment. When will I be reimbursed?

For example: You will receive payment for your September hours around the middle of October. Then, you notice a discrepancy. Once you let Jeff know and the issue is resolved, you will be reimbursed the following month when you receive payment for your October hours, around the middle of November.

 

When do I record the hours I work?

You should be recording your hours on a daily basis. Do not wait until the end of the month.

 

When do I receive payment?

You will be paid on a monthly basis. Timesheets are processed after the last day of the month for which you worked. It usually takes at least two weeks for payments to go through QF Finance and for your bank to deposit the funds into your account. Please plan your finances accordingly.

 


How will I be paid?

QF sponsors student employment, so they are the ones funding you as an employee. Once they process timesheets after the end of each month, finance forwards your check to the bank, and your bank direct deposits the check into your bank account. If you give inaccurate or incomplete bank information (wrong bank name, incorrect account number, etc.) the funds will not reach your account.

 

How do I know how many hours I am allowed to work per week?

When you apply, please pay close attention to the job description. It will tell you how many hours the job was approved for as well as the rate of pay for the job. Note: You will not be paid for any hours you work over the maximum number of hours approved for the position – per week. For example, if the position is approved for a maximum of 20 hours per week and you record 22 for one week, but work two hours less the following week, you have exceeded your weekly limit of hours and will not be paid for the two hours worked over 20 in that one week, regardless if you worked two hours less the following week. If you violate this rule multiple times, QF will remove you from the student employment system and you will not be allowed to work.

 

Can I have more than one job?

Yes, but no more than two at one time. However, keep in mind two things: (1) it is your responsibility to know how many hours each job is approved for and not to go over this amount; (2) you cannot under any circumstances work more than 20 hours per week total with the two jobs combined. For any job(s) that may go over 20 hours per week, the student/supervisor must let JeffD@qatar.cmu.edu know, for such a request must be approved by and negotiated through QF.

 

Can I work at another branch campus in Education City?

Yes, you will apply directly to that position. The 20 hour limit still applies. If you have one job at CMU and one job at TAMUQ, you cannot work a total of more than 20 hours per week.

 

I am a CDA. Can I work another Student Employment Job at any branch campus?

No, QF’s policy is that CDAs cannot work in any other student employment position.

 


FOR SUPERVISORS:

 

Do I need a Tech4Work account?

Yes. Only if you do not already have an account, create one in www.tech4work.com. This year, you will be able to see who has applied to your jobs, access student’s timesheets, and even be able to directly link students to the job.

 

How do I create an account?

Only if you do not already have an account, go the website and under “Main Menu” click on “Supervisor/Employer Area.” After you click on that you will see Employer Login below. Click “create account” and provide the information requested. Make sure you create a SUPERVISOR/EMPLOYER account and not a STUDENT account. 

 

Please note that the email address you enter in your account is the one that tech4work will use to send you an account confirmation link. Only after you click on that link that is emailed to you will you have an account in tech4work. Please make sure your email account does not block “tech4work,” otherwise you will not receive the link. If you use your CMU email address and you have it set up so that it forwards emails to your personal email address account, make sure to check both accounts. Once you have finished entering your information, click submit.

How do I get linked in Tech4Work to the job I supervise?

Jeff Davis will link you to your position in Tech4Work. In order for you to be linked, however, you must have an account in Tech4Work.

 

What will I be able to do with my Tech4Work account?

View who has applied to your position(s):

     1.      Once you log in look under “Employer Menu” and click “My Job Listing”

     2.      The job(s) you supervise will be listed. If you wish to see the job description, click on the position title. To the right of the screen you will             see a column titled “App’ns” which is short for “applications.” The number indicates how many applications have been submitted for the             position on that row. Click on the number and it will take you to a page listing the names of students who have applied. Click on a name             and it will provide you with the completed application of the student. You may then contact an applicant directly to set up and interview.

Link students to the position you supervise


     1.      Click on “Employer Self-Service” at the bottom of the “Employer Menu”

     2.      This should bring up the job(s) you supervise. On the left is a column entitled “Functions” that has two icons. Click the one on the right              that looks like a chain link with a green plus sign next to it. This will bring up all the information concerning the position you supervise.              You can see the job description, whether or not the job has been approved by QF, the number of hours per week the position is                               approved for (“Duration”), and the pay rate (once the job has been approved by QF).

     3.      Scroll to the bottom of this page and you will see a Linking Table with 9 headings:

           If there is no student information under these headings, that means you have not hired a student, have not informed Jeff Davis (for                         non- academic positions) or Hope Rodefer (for TA positions) of a student you would like to hire, or the student you have hired simply            hasn’t been linked to the position.

     4.      To link a student to your position, click on “Add” underneath the table. This will open up another page with a drop down menu (“user id”).             The drop down menu will have the names of all students who have applied for your position. Simply click on the name of the student you             wish to link. Their information will appear under the table on the previous page. They are now linked to the position and should have             access to their timesheets. *If you do not see the name of the student you wish to hire on the scroll down menu, this means the student             (a) does not have a tech4work account or (b) has not applied to the position. Please inform the student that they need to create an                        account and also apply to the position. They cannot log hours and will not be paid if they are not in the system.

View your employee’s timesheets

     1.      Follow steps 1 through 3 above. Once the student is linked all of his or her information will appear under the Linking Table. To the left of                the student’s name you will see two icons, (1) an option to delete/de-link the student and (2) a small calendar image. Click on the                          calendar image and a page will open that shows you how many hours your student worked on which days.

 

When can I hire a student?

For non-academic (non-TA, non-Peer Tutor) positions:

 

Supervisors of non-TA positions may hire at any time. However, they must inform Jeff Davis as soon as the hired is made. Please indicate the name of the student, their email address, and the first date that he/she/they started work.

For Teaching Assistants:

 

Hope Rodefer in the Academic Resource Center will send out an announcement mid-way through the semester to all faculty once she receives the courses that will be taught in the following semester. This announcement will detail the timeline and process for hiring TAs for the next semester. Once this announcement is sent, faculty need to let Hope know if they want to request a TA and who they want to request. Students requested are screened according to ARC policies and procedures. If a qualified candidate is not immediately identified, the position will remain open.

 

Do I need to approve students’ timesheet anywhere in Tech4Work?

 

Currently there is no option for you to approve the timesheet in order for the student to save and submit it at the end of the month. However, you can view the timesheet at any time following the steps above. It is the responsibility of the student and the supervisor to ensure the student does not work over the number of weekly hours approved by QF for the position.
